Things to do to set up a RRI Workshop

Administrator's Responsibilities Needs Assessment

After reading this page, contact Relationship Resources, Inc. (RRI) if you would like

to set up a workshop for your group.

A. Decide on the following and send to RRI as soon as possible:

  1. Date and times. Reserve room.

  2. Location.

  3. Topic for workshop. You might want to send out a Needs Assessment if you are not doing a full 4 2 day workshop.

  4. Contact person and telephone number.

  5. Cost per person, and when and how participants will pay.

  6. Contact RRI for a Workshop Contract.

B. Other things to decide on:

  1. Will this just be for your group, or will you invite others?

  2. Who is the target audience for the workshop?

  3. Who will be involved in planning and executing the workshop? You need the following, although one person could do most of the jobs:

a. General coordinator. Go to Administrator's Responsibilities for a list of responsibilities.

b. Food coordinator, for meals, if you include meals, or at least for drinks and snacks.

c. Childcare coordinator.

d. Registrar.

e. Someone to take care of details for setup of the room and copying materials, etc.

4. Will you have childcare? If so:

a. Who will provide it? What will the children do? Will it be just babysitting

or will there be activities?

b. Will there be a cost per child?

c. Where will the children be? Reserve rooms.

5. Will you serve meals? If so, who will prepare them? How much will that cost?

C. Advertising. How will people find out about the workshop? Consider the following ideas:

  1. Newsletters or bulletins.

  2. Public Service Announcements (PSA) on radio, TV and newspapers. These are free and RRI can send a sample PSA to you.

  3. Fliers. RRI can send a master of a flier for you to copy. Places you can put these fliers include: libraries, book stores, YMCA=s.

D. Things needed for the workshop:

  1. Notebooks for each participant, plus one for the facilitator table. Let RRI know the number needed.

  2. Transparency pens

  3. Extension cord.

  4. Name tags for each participant and facilitator with the first name written large. Also, if people are coming from different groups, it helps to have their organization written on the tags.

  5. A box of tissues.

  6. Blank paper.

  7. Pads of 3x5 post-its B at least one per table of participants.

E. Room Set up

  1. The room should have good acoustics. A sound system with two cordless microphones, if the room is too big or the acoustics is not good.

  2. Round tables for participants with four to six people per table.

  3. A long table for facilitators B six to eight feet long. No podium.

  4. Table for water and possibly other drinks.

  5. An overhead projector and screen.

  6. Two large pads of poster paper on easels and pens to write on it.

  7. Two stools for facilitators to sit on.
